Appendix: Appointment App (For Existing Clients)
This appendix applies to the appointment app used by persons who have previously met with the data controller and have been given a personal access code. The app is not offered publicly on the website; it is intended only for creating, changing and cancelling appointments and for receiving reminders. It is not intended for emergencies.
Data processed. The name or nickname given to you; your appointment dates and times and their status; the device key used to sign in to the app (a random value stored on your device; only its digest is kept on the server) and the time of last use; if you grant notification permission, your phone’s notification address; and the record that you accepted the consent text. The app has no field for therapy content, complaints, diagnosis or health information, and such information is not requested. Reminder notifications contain only the appointment time. To limit wrong code attempts, an irreversible digest of your IP address is kept for a short period (at most a few hours).
Purpose and legal basis. The data is processed solely to carry out the appointment service, to send appointment reminders and to keep the app secure. Because appointment information may indicate that psychological support is being received, this data is treated as special categories of personal data; the notice is shown the first time you sign in to the app and your consent is obtained. Notifications are sent only with your permission; you can turn the permission off at any time in your phone’s settings, and the app can also be used without notifications.
Transfer. Notifications are delivered through the notification service of your phone’s operating system or browser (Apple, Google, Mozilla or Microsoft). Because these services are located abroad, your notification address and the fact that a notification has been delivered may be processed by these service providers; the notification content is sent encrypted and cannot be read by them. By turning on notifications you give your explicit consent to this transfer; turning on notifications is not mandatory. App data is stored on the website’s hosting infrastructure and is not shared for advertising or marketing purposes.
Retention and deletion. Appointment records are deleted automatically 12 months after the appointment date. When your sessions come to an end, your record is archived and permanently deleted within 30 days. You can delete your data yourself at any time using the “Delete my data” option in the app.
Security and your rights. Access codes are single-use, time-limited and stored only as a digest; the connection is encrypted and the pages are closed to search engines. You can exercise the rights described in section 9 for this app data as well.
